Privacy Policy
This policy describes how The Answer Print handles information for Headroom for One at headroomforone.com and its Headroom workspace. For privacy questions or requests, email contact@headroomforone.com with “Privacy” in the subject.
Information we handle
Account information includes your email address, account identifier, invitation and membership status, and assigned authority. Workspace information includes material you enter or import: projects, portfolios, captures, decisions, references, tools, notes, linked assets, and related history. We also handle feedback and support correspondence; sign-in, security, and technical records such as timestamps, IP addresses, and browser or device information; and notification choices, time zone, briefing hour, delivery records, and browser push endpoints and keys when you connect a device. Do not put passwords, payment card details, government identifiers, or highly sensitive regulated information in ordinary workspace notes.
Why we use it
We use information to authenticate accounts; store, retrieve, search, and organize your work; preserve the history of actions you approve; provide requested exports and integrations; send essential account messages and optional briefings; respond to support and privacy requests; troubleshoot, protect the service, and meet legal obligations. Feedback may inform improvements to the product. We do not claim ownership of your workspace content.
Who can receive it
Service providers process information needed to operate Headroom. These include OpenAI Sites for hosting and the temporary testing access gate, Cloudflare for domain and network services, Supabase for authentication and database services, and Purelymail for email. When enabled, your browser’s push service processes delivery information. Canva or another connected provider receives information necessary for integrations you choose to use. Your email provider also processes emails delivered to you. Provider processing may occur in countries other than your own. Their own policies govern their independent services.
Workspace access and administrative access
Ordinary users are restricted to their own workspaces. Executive and owner roles manage authorized operational functions; those roles do not make everyone’s private work visible through the normal interface. Authorized service administrators and infrastructure providers may need technical access to maintain the system, investigate problems, respond to your requests, or meet legal obligations. Access restrictions are not a promise that infrastructure administrators can never access stored data.
Sales, advertising, and automated suggestions
The current release does not sell personal information, use advertising trackers, or share personal information for cross-context behavioral advertising. Headroom does not use workspace content to train a general-purpose AI model. Current organizational and creative suggestions may use rules, matching, or preset content. If a future optional AI feature sends your material to an external model provider, its provider and relevant processing terms will be disclosed before use. We do not make decisions with legal or similarly significant effects about you solely through automated processing.
Cookies and device storage
Headroom uses authentication cookies and browser storage needed for sessions and app operation. The hosting privacy gate may use its own sign-in cookies. The installed web app uses a service worker for installation and notifications; the current service worker does not maintain an offline cache of private workspace responses. The current release does not include optional advertising or analytics cookies. Browser controls can clear cookies or site data, which may sign you out or remove device settings. See the Cookies and Device Storage notice for details.
Email and push choices
You can turn optional daily emails or push reminders on or off in your account when delivery is enabled. Push notifications require browser permission; you can revoke that permission in browser or device settings. Quiet push reminders do not contain private project details, but a daily briefing email may contain titles and activity from your workspace. Consider who can access your inbox or device. Turning off optional messages does not prevent necessary sign-in, security, or service notices.
Retention and deletion
We retain workspace information while it is needed to provide your account and preserve the history of your work. Archiving a thought, revoking an invitation, or disabling an account does not automatically delete its stored records. To request deletion, contact us from your account email. We will verify the request, explain any information that must be retained, and respond within the period required by applicable law. Limited information may remain for security, legal compliance, dispute resolution, or backup recovery until it can be lawfully and operationally removed. Deleting a Headroom record does not delete copies you exported, email you received, or files held independently by connected services.
Your choices and rights
You can review available work in the app, download the operational export, change notification settings, or contact us to request access, correction, deletion, or account closure. The operational export is not a complete copy of every legacy source, so contact us if you need additional account information. Depending on applicable law, you may have additional rights to portability, restriction, objection, appeal, withdrawal of consent, or a complaint to a privacy regulator. We may need information to verify your identity or your authority to act for someone else. We will not retaliate against you for exercising applicable privacy rights.
Security and children
We use account verification, access controls, and other technical measures to protect information, but no online service can guarantee absolute security. Report suspected unauthorized access to contact@headroomforone.com. The invited testing service is for adults aged 18 or older and is not directed to children. If you believe a child has provided personal information, contact us so we can investigate and take appropriate action.
Legal disclosures and policy changes
We may disclose information when reasonably necessary to comply with law, protect rights and safety, investigate abuse, or support a business transfer subject to applicable safeguards and notice requirements. We will update this policy when our practices change, publish the revised date, and provide additional notice or obtain consent when required. A change in policy does not retroactively authorize a materially different use of information without any legally required notice or consent.
